Procedures for Reserving Library Meeting Rooms 126 & 226

Members of the Rowan Community have first priority for reserving rooms in the library. Groups not associated with the university are subject to the facilities policies administered by the campus Scheduling and Conference Coordinator (Phone 256-4756). These rooms may not be reserved for regularly scheduled classes.

  • Complete the Room Reservation Form.
  • The library has the following equipment: overhead projectors, screens, TV/VCR, networked computer with Microsoft Office Suite, flipcharts/whiteboards. Equipment must be reserved at the time room is reserved. (There is not enough equipment for all scheduled functions; therefore, it is reserved on a first come basis.) If equipment is not reserved in advance, it may not be available on day of event.
  • Check in with the Circulation Desk to make sure the room is open and have Circulation lock room when you leave.
  • If furniture must be rearranged, advance approval by the Dean’s Office is required. It is your responsibility to insure that the room is restored to its original layout at the completion of your function. You must make separate arrangements through a Facilities work order at least two weeks in advance for rearrangement and restoration.
  • Only Campus Food Service (Sodexho) may be used. You are responsible for making arrangements. No outside food may be brought into the library. Food is to be consumed in the assigned room only and food service notified for cleanup.
  • The Fire Code prohibits more than 50 people in each of these rooms.

Procedures for Reserving Library Instruction Rooms (401-403)

Please note that these rooms are designated primarily for library instruction and the library science program. Reservations may be made for a one-time function or meeting.

  • Complete the Room Reservation form.
  • Instructional rooms are equipped with overhead projector, electric pull-down screen, TV/VCR, networked computer with Microsoft Office Suite, whiteboard, and flipchart. No equipment is to be removed from these rooms.
  • Check in with the Circulation Desk to be sure room is open and have Circulation lock room when you leave. Valid campus ID must be left at Circulation.
  • Only qualified library staff may change the room assignment. If problems occur, please contact the Library Dean’s Office, x4985 (daytime hours), or Circulation Desk, x4802 (after office hours).
  • No rearrangement of furniture is permitted.
  • Only bottled water is permitted in classrooms. Any exceptions must be approved, in advance, by the Dean’s Office.
  • No signs/materials are to be taped or tacked to the doors or walls of these rooms.
